First Annual Douglas J. Fletcher Memorial Golf Tournament Registration
Registration is now open for the 1st Annual Douglas J. Fletcher Memorial Golf Tournament. Many thanks to those of you who have expressed interest in either participating or donating to this worthy cause.

The tournament will be held on Monday, September 17, 2007 at the Brookside Club in Bourne, Massachusetts. Proceeds will benefit one of Doug’s favorite charities, the National Marine Life Center. The event will kick off at 8:00 a.m. with a shotgun start and end with 19th hole festivities at the Mashnee Island Beach Club in Bourne with lunch, prizes and raffles.

Advisory Group
Convention Data Services held its first-ever Advisory Group meeting in beautiful Plymouth, MA on July 31st. The Advisory Group is made up of CDS clients and was established to give in-depth feedback on current products and services and to provide a forum for discussion on future challenges for the event industry.

This first meeting was a great success with plenty of networking opportunities for the Convention Data Services staff and the eight clients in attendance. Topics discussed included departmental and product updates, as well as the state of the industry and future initiatives.

Case Study: Society for Neuroscience    

Society for Neuroscience Streamlines Registration and the Registration Check-in Process

CHALLENGE: Six years ago, SfN (Society for Neuroscience) determined it was time to improve their annual meeting registration processes. Fax, phone and mail registration was an operational burden, housing blocks suffered from high slippage rates, credit card charge backs abused cash flow and onsite registration services were time and resource intensive.

SOLUTION: Convention Data Services worked with SfN and developed a plan to:
  • Launch online tools
  • Link housing to registration
  • Provide online registration incentives
  • Speed the onsite check-in process
  • Utilize onsite, self-serve registration

RESULTS: In addition to making the registration and check-in process easier and faster, more accurate information and tracking were made available through the integrated solutions put in place by Convention Data Services.

Over a five year period:
  • Total registration increased from 20,700 to 35,000
  • Advanced online registration increased from 30% to 98%
  • Onsite registration decreased from 34% to 4%
  • Mail/fax/phone registrations decreased from 70% to 2%


FAQs: How Will the Post Office Rate Increase Effect My Mailings?    

On May 14, 2007, first class mailing rates went from $.39 to $.41 per ounce. The second ounce price dropped from $.63 to $.58. The Post Office also considers the dimensions of a package when calculating costs.

This rate change will affect many of our clients for whom we mail credentials and other materials. On average, costs for “flat” packages that include only paper will remain the same or decrease. Packages that are more than ¼” thick will be calculated at the “parcel” rate and, in most cases, dramatically increase in price.

Ask your Account Executive how this change will increase the cost of your credential mailing.

Product Showcase: X•Press Check-in    

Onsite, self-serve kiosks save time and reduce lines by providing a quick and easy-to-use check-in process for advance registrants. Registrants scan the barcode they received in their registration confirmation email and their badge is printed at a designated station in seconds.

A reminder email that includes the barcode is sent to registrants the week prior to the event to ensure they have it when they arrive onsite.
